Trans-Oil Group is committed to integrity, transparency, and responsible business conduct. We encourage all our stakeholders – internal and external – including employees, management, customers, suppliers, contractors, business partners, community members, and other third parties to report concerns about misconduct, unethical behavior, or violations of laws, regulations, or company policies. Speaking up helps us identify risks early and maintain a safe, ethical, and responsible working environment.

Reports submitted through the Speak Up channels are handled in accordance with Trans-Oil Group’s Whistleblowing Policy, which defines the reporting procedures, confidentiality safeguards, and protection against retaliation for individuals who raise concerns in good faith.

We encourage you to submit freely, and without fear of negative consequences, any grievances, concerns or suggestions related to our company’s performance, practices and impacts. These may relate to topics including, but not limited to:

💰 Fraud, bribery, or corruption;

️ Violations of laws or regulations;

Human rights violations;

🛑 Workplace harassment or discrimination;

🌍 Environmental violations;

🩺 Health and safety risks;

🔗 Supply chain misconduct;

📜 Breaches of company policies or ethical standards.

Grievances, concerns, or suggestions may be reported using our online form, by phone, or by email. Alternatively, you may complete the attached Grievance Form and submit it in person or send it to us via email. Confidential reports may also be submitted through our whistleblower reporting software or via the confidential 24/7 hotline.

Upon receipt of a grievance, an acknowledgment will be sent to the complainant within 5 working days. The relevant department will investigate the grievance within 10 working days. A formal response detailing the resolution and corrective actions will be communicated to the complainant within 15 days. In some cases, when additional time is required for investigation, the complainant will be informed of the delay along with an estimated timeframe for resolution.

We are committed to maintaining a responsible and ethical business environment in which every voice is heard and every complaint is taken into account. All grievances will be treated confidentially and without fear of retaliation. We will regularly update you on the progress of your grievance, ensuring transparency and accountability throughout the process. 

Anonymous grievances will also be taken seriously. We will make every effort to investigate, follow up and implement appropriate solutions. However, due to the nature of anonymous submissions, there may be limitations in our ability to provide specific responses, remedies or follow-up.

This form may be used to submit general grievances, concerns, or suggestions that do not require special handling or confidential treatment. Individuals who wish to report sensitive matters or provide information of a confidential nature are encouraged to use the dedicated whistleblower reporting software or the confidential 24/7 hotline, which are specifically designed to ensure secure and protected reporting.
